SportIntel Canada is committed to protecting privacy and using information responsibly, transparently, and only for clearly defined purposes. This Privacy Policy explains how we collect, use, store, and protect information submitted through the SportIntel Canada website, including the Join the June Workshop form.

1. Information we collect

When you submit the workshop request form on the SportIntel Canada website, we collect:

  • full name;
  • work email;
  • organization or National Sport Organization (NSO);
  • role or title;
  • short message or current priority; and
  • any other information you choose to provide.

We also store the timestamp of your submission, a one-way hash of your IP address, and your browser user-agent string for abuse detection and audit purposes. We do not store your raw IP address.

2. Why we collect this information

We collect this information to:

  • respond to your enquiry;
  • manage SportIntel Canada workshop registration;
  • coordinate onboarding, training, and early access conversations;
  • understand stakeholder interest across governments, National Sport Organizations (NSOs), funders, municipalities, researchers, and partners; and
  • share relevant SportIntel Canada updates.

We do not collect more information than is reasonably necessary for these purposes.

3. Lawful basis and consent

We process your information on the basis of:

  • Your explicit consent when you submit the form (GDPR Art. 6(1)(a), PIPEDA Principle 3); and
  • Our legitimate interest in responding to business-to-business contact requests (GDPR Art. 6(1)(f)).

You may withdraw your consent at any time by contacting us. Withdrawing consent may limit our ability to respond to your request or include you in future SportIntel Canada communications.

4. How we use and share information

We do not sell personal information. Information submitted through the website may be accessed by authorized SportIntel Canada, 4GLOBAL, or project team members who need it to manage stakeholder engagement, communications, onboarding, or related project activities.

We use the following service providers to deliver this website and process enquiries:

  • Postmark (ActiveCampaign LLC, United States) — transactional email delivery for workshop request acknowledgements and internal notifications. Postmark processes data under a signed Data Processing Agreement and EU Standard Contractual Clauses.
  • Cloudflare (United States) — bot mitigation via Cloudflare Turnstile on the workshop form. Turnstile is privacy-preserving and does not set tracking cookies.
  • Bunny.net (Germany / Slovenia) — web font delivery via fonts.bunny.net. Bunny Fonts does not log IP addresses and is GDPR-compliant.
  • Hosting provider — the SportIntel Canada website and database are hosted in Canada by 4GLOBAL.

5. Data protection and security

SportIntel Canada is built around trust, documented data flows, role-based access controls, contributor control, and responsible data use. The website describes SportIntel Canada as designed to align with PIPEDA, with data stored in Canada and governed through clear permissions and safeguards.

We use reasonable administrative, technical, and organizational safeguards to protect information against unauthorized access, loss, misuse, disclosure, alteration, or destruction. Workshop enquiry data is transmitted over HTTPS, stored in an access-controlled database, and accessible only to authorized project staff.

6. Data retention

Workshop request data is retained for 12 months from the date you submit the form, after which it is automatically deleted from our systems by a scheduled retention job.

Consent logs (a record that you accepted this Privacy Policy) are retained for 3 years to allow us to demonstrate compliance with privacy law if a regulator asks. Consent logs are stored separately from your contact details when the contact record is deleted.

If we need to retain your data longer for legitimate business or legal reasons, we will tell you and explain the basis.

7. Your rights

You may contact us at inquiries@4global.com to:

  • ask what information we hold about you (right of access);
  • request a correction (right to rectification);
  • ask for your data to be deleted (right to erasure);
  • withdraw consent;
  • ask that we stop contacting you (right to object);
  • ask for a portable copy of your data (right to portability);
  • ask questions about our privacy practices; or
  • raise a concern about how your information has been handled.

PIPEDA gives individuals rights to access and request correction of personal information held by organizations subject to the Act. You can learn more from the Office of the Privacy Commissioner of Canada. Visitors from the European Union have additional rights under the GDPR and may lodge a complaint with their national data protection authority.

8. Cookies and analytics

This website does not set cookies and does not use third-party analytics or tracking technologies. Web fonts are served from Bunny.net (privacy-preserving, no IP logging) and bot protection on the workshop form is provided by Cloudflare Turnstile, which does not set tracking cookies.

If we add analytics in the future, we will update this policy and request your consent before any tracking technology is loaded.

9. Links to other websites

The SportIntel Canada website may include links to third-party websites or partner organizations. We are not responsible for the privacy practices or content of external websites.
